Arc Hair Studio (7151 Victoria Drive, Vancouver, BC) runs this website to take appointment bookings and to stay in touch with our guests. This page explains what personal information we collect, why, who helps us handle it, and how you can see it, correct it or have it deleted.
What we collect
- When you book or join the waitlist: your name, phone number, email address, date of birth (the year is optional), gender, how you heard about us, the service, stylist and time you chose, and any note you add.
- Hair profile: if you fill in our hair profile form — your recent treatments, allergies or sensitivities, occupation, and any photos you upload.
- Photos taken at the salon: photos of a finished service, and a personal colour result if you have that service, kept with your client record.
- Messages: text messages you send to our number, messages you write in our chat page, questions you ask in the website chat, and — if you message us there — Instagram direct messages.
- Appointment history: your past and upcoming appointments, and the date and amount of payments made at the salon.
- Job applications: the details and files (such as a resume) you send through our Join Us form.
We do not collect or store your card details. Payments, and any card saved as a booking hold, are handled by Square. We can see that a card is on file, but never the card number.
How we use it
- To make, confirm, change and cancel your appointments, and to offer you a spot from the waitlist.
- To verify your phone number by text before you book or view your bookings.
- To answer your questions and reply to your messages.
- To prepare for your service — your hair history, allergies and reference photos help your stylist.
- To send a deposit request for perm and colour appointments.
- To send visit reminders, only if you have agreed to receive them. You can stop these at any time by replying STOP.
- To review applications for work at the salon.
We do not sell your information, and we do not use it for advertising. This website has no advertising or analytics trackers.
Automated replies and AI
Some replies are automatic. If you text us, message us, or use the chat on our Contact page with a common question, a saved answer may be sent back right away. Other questions in the Contact chat are answered by an AI assistant, and a person at the salon can take over. When we reply to your texts and messages ourselves, an AI tool may suggest wording for us — a person at the salon reads and chooses every reply before it is sent. Messages used for these answers and suggestions are processed by our AI provider.
Who helps us handle it
We share information only with the companies that run parts of this service for us, and only as far as each one needs:
- Square — appointments, client records and payments.
- Twilio — sending and receiving text messages.
- Vercel and Neon — hosting this website, its database and uploaded photos.
- Anthropic — the AI assistant in the website chat, and reply suggestions for our staff.
- Resend — sending email.
- Meta — Instagram messages, when you contact us through Instagram.
These companies may store and process information outside Canada, including in the United States, where it is subject to the laws of that country.
On your device
After you verify your phone number, we keep a sign-in token in your browser for up to 90 days so you do not have to verify again each visit. Use Sign out under My Booking to remove it. We do not use advertising cookies.
How long we keep it
We keep your client record while you are a guest of the salon, so that your stylist has your history. Job applications are kept while we are considering them. You can ask us to delete your information at any time — see below.
Seeing, correcting or deleting your information
You can ask to see the information we hold about you, to correct it, or to have it deleted. Contact us by email at archairstudio@look-at.ca or by text at +1 236-232-2727, from the phone number or email on your client record so we can confirm it is you.
When you ask for deletion, we remove your saved details, hair profile, photos, messages, waitlist entries and client record from our systems and from Square, and remove your name and contact details from past booking requests. This includes messages you sent us through Instagram. We do this within 30 days and let you know when it is done. We may keep the date and amount of past payments, without your name, where tax or accounting rules require it.
Children
Appointments for children are booked by a parent or guardian, whose contact details we keep.
Changes and questions
If we change how we handle personal information, we will update this page and the date at the top. Questions or concerns: archairstudio@look-at.ca. If we cannot resolve a concern, you may contact the Office of the Information and Privacy Commissioner for British Columbia.
